Our services can be structured to meet your specific needs.  Below are the basic services we provide for your annual management fee:
  • Open and maintain individual custodial bank account(s) to receive, deposit, disburse and account for all Association funds.  Your funds are never mingled with another community
  • Mail scheduled annual assessment invoices as directed by DCCRs and Board
  • Create and maintain ledger cards for each homeowner
  • Work with Board to create annual budget
  • Assess applicable late fees; follow delinquent policy including but not limited to pre-lien notices and recording liens
  • Set up payment plans for delinquent accounts as directed by Board and send monthly reminders and/or invoices until account is paid in full
  • Act as liaison for HOA attorney
  • Prepare monthly reports; i.e., financial (Income & Expense), current accounts receivable, monthly sold homes, etc
  • Arrange for annual taxes to be filed by accountant of choice
  • Manage all vendors for common ground; i.e., utilities, landscaping, pool maintenance, etc., making sure all are insured as required
  • Provide Form 1099 (if applicable) to all above vendors
  • Attend one (1) monthly Board meeting, take and transcribe minutes, notify homeowners
  • Create all meeting documents; i.e., yard sign(s), agenda, sign in sheets, etc.
  • Provide all meeting documents and monthly reports to Board for personal binders
  • Work with Board to create annual newsletter to be mailed with assessment invoice
  • Maintain a roster of all homeowners with in situ address, mailing address, contact info, etc.
  • Create detailed map, when possible, of subdivision with addresses and common ground
  • Maintain all necessary Association records
  • Prepare Trustee Letters/Estoppels Certificate for homeowners (Paid by Homeowner)
  • Welcome new homeowners with email and community info
  • Create and maintain community website (no additional charge) with all Board approved documents, online payments, homeowner contact info, email blasts, calendar, etc.
  • One (1) monthly drive through subdivision to ascertain any DCCR violations
  • Notify homeowner of violations and follow procedure for remedy
  • Handle all aspects of Board elections and annual meeting (additional fee for mailing)
  • Act on homeowner concerns; respond to all queries within 24 hours (Mon-Fri)
